The hiring wizard collects everything needed to pay someone and start their onboarding. It takes about five minutes if you have their paperwork in front of you.

Have these to hand. Missing any of them means stopping halfway through.
You don’t need their bank details. The wizard can email them an invite to enter those themselves.
This depends on your package, so don’t be alarmed if a colleague’s screen looks different.

In the sidebar, open People, then New Hires, then click Add Employee. The header shows which step you're on.
Fields marked with an asterisk are required; the rest you can fill in later from their profile.
It decides which manager can see this person, whose timesheet they appear on, and which site's compliance list they land in. Changing it afterwards is an owner-only job, so get it right now.
Skipped entirely on Compliance Only.
For hourly staff you’ll see a Pay Preview (estimated) panel. The tax figure in it is a rough approximation for sanity-checking the rate — it is not what will actually be withheld.
On Full Service this step starts with SSN * and Date of Birth *. The SSN must be exactly nine digits, and you'll be stopped at Next if it isn't.
Every package then asks for Street Address *, City *, State * and Zip Code *.
Filing status, then the dependent and withholding fields. There’s an Advanced withholding (optional) section holding other income, deductions and the military spouse and non-resident alien checkboxes. Most new hires don’t need it.
If the employee’s state has its own withholding form, those fields appear below and are supplied by the tax provider, so they vary by state.
Don't estimate filing status or dependents. These figures determine what's withheld from every paycheck, and correcting them later means amended filings.
Full Service only. Two options:
The invite option needs a work email. Without one you’ll be told the invite cannot be sent.
Then click Add Employee.
Submitting does considerably more than save a record. You'll get a confirmation listing what was set up — typically the BrightBridge profile, the payroll account, identity verification, W-4 withholding, time clock access, and their personal and compliance information.
On Full Service you’ll usually also see identity verification listed as pending, with a one-to-three business day estimate. That’s normal and doesn’t need chasing.
From the confirmation you can go straight to Add Another or View All Employees.
That address already belongs to an account somewhere on the platform — one email can only ever be attached to one account. Use Edit work email and submit again with a different address. Nothing was created, so nothing needs cleaning up.
The profile was created but one or more payroll steps failed. The screen lists which. Click Retry Failed Steps. Don’t start the wizard again — you’d create a duplicate.
If the confirmation says identity verification could not be started, that employee cannot be paid until it completes. Everything else on the list can be picked up later; this one blocks payday.
New employees stay in onboarding until their required tasks are done. Finish the checklist on their profile and they’ll become active.
