Add an employee

The hiring wizard collects everything needed to pay someone and start their onboarding. It takes about five minutes if you have their paperwork in front of you.

Before you start

Have these to hand. Missing any of them means stopping halfway through.

  • Their legal name, start date and job title.
  • A work email address. Not strictly required, but it’s what their login and their bank invite go to — without it you’ll be chasing them later.
  • Their home address. Street, city, state and zip, on every package.
  • Their pay rate, if your company runs payroll or time tracking.
  • Their SSN and date of birth, on Full Service only.

You don’t need their bank details. The wizard can email them an invite to enter those themselves.

How many steps you’ll see

This depends on your package, so don’t be alarmed if a colleague’s screen looks different.

Getting to the wizard

In the sidebar, open People, then New Hires, then click Add Employee. The header shows which step you're on.

Step 1 — Basic Info

Fields marked with an asterisk are required; the rest you can fill in later from their profile.

  • Profile photo — optional. JPEG, PNG or WebP.
  • First Name * and Last Name *
  • Work Email — used for login and the bank invite.
  • Phone
  • Job Title / Position * — type it, or click one of the suggestions (Teacher, Assistant Teacher, Daycare Director, Cook, Administrative Assistant, Security, Janitor, Other).
  • Employment Type — Full Time, two Part Time bands, Seasonal or Variable.
  • Start Date *
  • Worker Type * — W2 Employee or 1099 Contractor.
  • Department * — pick one, or choose + Create new department and add it inline.
  • Location * — only appears if your company has two or more active locations.
  • Manager / Supervisor — optional, any active employee.

Location is the setting that matters most later

It decides which manager can see this person, whose timesheet they appear on, and which site's compliance list they land in. Changing it afterwards is an owner-only job, so get it right now.

Step 2 — Pay Details

Skipped entirely on Compliance Only.

  • Pay Type * — Hourly or Salary (Annual).
  • Hourly Rate or Annual Salary, depending on the above.
  • Overtime Eligible — defaults to Yes.
  • Payment Method — Direct Deposit or Check. Full Service only.

For hourly staff you’ll see a Pay Preview (estimated) panel. The tax figure in it is a rough approximation for sanity-checking the rate — it is not what will actually be withheld.

Step 3 — Personal Info

On Full Service this step starts with SSN * and Date of Birth *. The SSN must be exactly nine digits, and you'll be stopped at Next if it isn't.

Every package then asks for Street Address *City *State * and Zip Code *.

Federal W-4 — Full Service only

Filing status, then the dependent and withholding fields. There’s an Advanced withholding (optional) section holding other income, deductions and the military spouse and non-resident alien checkboxes. Most new hires don’t need it.

If the employee’s state has its own withholding form, those fields appear below and are supplied by the tax provider, so they vary by state.

Copy the W-4 from the form they signed

Don't estimate filing status or dependents. These figures determine what's withheld from every paycheck, and correcting them later means amended filings.

Step 4 — Bank Setup

Full Service only. Two options:

  • Invite employee to provide bank details — recommended. They get an email and enter their own account. You never handle their numbers.
  • Enter bank details now — bank name, account holder, routing number, account number, and Checking or Savings.

The invite option needs a work email. Without one you’ll be told the invite cannot be sent.

Then click Add Employee.

What happens when you submit

Submitting does considerably more than save a record. You'll get a confirmation listing what was set up — typically the BrightBridge profile, the payroll account, identity verification, W-4 withholding, time clock access, and their personal and compliance information.

On Full Service you’ll usually also see identity verification listed as pending, with a one-to-three business day estimate. That’s normal and doesn’t need chasing.

From the confirmation you can go straight to Add Another or View All Employees.

If something goes wrong

“Employee was not added” with an email message

That address already belongs to an account somewhere on the platform — one email can only ever be attached to one account. Use Edit work email and submit again with a different address. Nothing was created, so nothing needs cleaning up.

“Payroll setup incomplete”

The profile was created but one or more payroll steps failed. The screen lists which. Click Retry Failed Steps. Don’t start the wizard again — you’d create a duplicate.

Identity verification failing is the one to act on

If the confirmation says identity verification could not be started, that employee cannot be paid until it completes. Everything else on the list can be picked up later; this one blocks payday.

They can’t clock in yet

New employees stay in onboarding until their required tasks are done. Finish the checklist on their profile and they’ll become active.
